Workforce

Your team’s working hours, recorded and ready to show. Clocking in takes a tap. Every correction is kept, with its reason, and leaves a trace. And the record exports to CSV or PDF the day an inspector asks for it. Overtime, in plain sight. Time off, holidays and the work calendar, all in one place. What it doesn’t do: it gives neither the Labour Inspectorate nor the workers’ legal representatives an account of their own; they receive the exported record.

What you can do

Add someone to the team

So they can sign in, clock in and book time off from day one.

Open someone’s record

To keep contract, working hours, time off and logged hours in one place.

Book holiday or sick leave

So the team sees it coming and the balance counts it.

Clear what is waiting on your sign-off

So nobody waits on an answer nobody saw.

How it works

Add someone to the team, in three steps.

  1. 1

In People, the “+” on the window bar invites the account: whoever gets it can sign in, but has no record yet.

  2. 2

Next to it, “Add HR record” opens the real thing: role, department, start date, tax ID and the account they get paid into.

  3. 3

Put their email in there. If that email has no account yet, the same screen offers to invite them and creates both at once.

How to use it

The Workforce steps, one by one, are in the manual.

What is included

  • A record for every person, and an org chart of who reports to whom
  • Time off and holidays, requested and approved, with each person’s balance
  • A working-time record that shows every correction, exportable to CSV and PDF
  • Departments with their own schedule, public holidays and holiday allowance

What it solves

Looking after the people on a team usually gets split between a holiday sheet, a notebook of clock-ins and emails asking for permission. Workforce brings together in one place each person’s detail, the working day they clock, their time off and what is waiting for your approval, and crosses it with the hours they log on projects.

Working-time record

Clocking in and out is a single gesture. Every correction is written down with its reason and leaves a trace, and the record for a period is exported as CSV or PDF to hand to an inspection or to your accountant the day they ask. Overtime is in plain view and the expected hours are compared with the logged ones, to know who has spare time in the week and who is over before handing out more work.

What Workforce does not do: it does not open an account of its own for the labor inspectorate or for employee representatives. They receive the exported record.

Time off and holidays

Each person requests a holiday or a leave, whoever has to approve it sees it and the balance counts it, so “how many days do I have left?” is answered without opening a spreadsheet. You can mark the days that are not worked so a long weekend does not show up as hours someone did not do, and set someone’s schedule when it is not the default one.

People, departments and org chart

Adding a person lets them sign in, clock in and request holidays from day one. Their detail holds their schedule, their time off and their hours. Departments have their own schedule, their holidays and their vacation days, so you do not configure them person by person, and the org chart shows who reports to whom, which is the chain that decides who can approve.

With the Employee portal

Workforce is the base of the Employee portal: what each person sees of themselves, including clocking their working day.

Frequently asked questions

Does it work as a working-time record?
Each person clocks in and out, every correction is written down with its reason and the record is exported as CSV or PDF. An inspection receives the exported record: it has no account of its own in Projekt Republic.
How are holidays requested and approved?
The person requests a holiday or a leave, whoever approves it sees it and each person’s balance counts it.
Can I have different schedules and holidays per team?
Yes. Departments have their own schedule, their holidays and their vacation days, and you can also set the schedule of a specific person.
Can I compare clocked hours with the hours logged on projects?
Yes. Workforce compares the expected hours with the logged ones to see who has an overloaded week and who has spare time.
